I recently visited our overseas offices in Hong Kong and Shanghai!
This business trip involved not only objectives at each of our locations, but also a major mission common to both Hong Kong and Shanghai.

This involves setting up and testing the connection of a shared folder that can be used between our locations in Japan and China.

When we actually tested the connection in the local environment, we confirmed that it was successfully established!
There are no issues with communication speed, and we now have an environment in place for smooth data sharing with Japan.

First of all, we've achieved one of the main objectives of this trip!

Then, the Hong Kong subsidiary checked the "aftermath" of its in-house developed system.
Currently, our company's proprietary sales accounting system has been in full operation since January of this year.
This time, approximately six months after the system went live, we interviewed staff members who are actually using it to hear their current impressions and suggestions for improvement.

Staff members have also reported feeling a real reduction in work time thanks to the system's implementation!

Furthermore, the documents we submit to our clients are currently generated from our system.
We've received no inquiries so far regarding inaccuracies in the content, so we're relieved to know that it's being used without any problems in actual operations.
We will continue to refine the system to make it even more user-friendly by listening to feedback from actual users.

The business trip team completed their approximately two-day schedule in Hong Kong and moved on to the Shanghai office.

At the Shanghai office, we started by learning about the business operations.

First, in order to improve operational efficiency in the future, we conducted a detailed interview about the tasks currently being performed.
Currently, one administrative staff member handles a wide range of tasks, from order processing and delivery date management to accounting duties such as payment and receipt management.

I'm extremely busy.

On that day, they temporarily stopped their regular work and carefully explained each step of the process while demonstrating the operations according to the actual workflow.
There were times when we repeatedly asked the same questions, and in those situations, the staff responded with:

"It's for the sake of convenience!"

The word.

When I heard those words, I felt a mix of happiness, relief, and other emotions that are hard to describe.

The goal isn't simply to create the system, but to make the work of the people who actually use it a little easier.

We want to reduce manual data entry and manual work as much as possible!

I realized once again that this was the reason I was able to come to the site, see the work in progress, and hear directly from them.
Through these interviews, we learned that there are still many aspects of the Shanghai subsidiary's operations that are done manually, involving data entry and other manual processes.

Even though each individual task may be small, repeating them every day or every month adds up to a significant amount of time.

"Can't this task be done more simply?"

"Is there a way to avoid having to enter the same information multiple times?"

I want to organize my work from that perspective and create a system that can make things as efficient as possible.

We were able to create an environment that allows for smooth file sharing between Japan and China.

In Hong Kong, we were able to confirm that the system was actually being used and was leading to a reduction in working hours.

In Shanghai, I was able to review areas for improvement with local staff.

It was a very fruitful business trip.
